More AI Library: find files, ask questions and keep versions

Use your file library and connected Google Drive for proposals, reports and document questions. Learn how selected versions, storage access and cloud processing work.

Start with the files you need for one task

Library brings your cloud files and connected Google Drive into More AI. Open Library in the desktop app or the web app and sign in. More AI Drive needs available storage access on your account; connected Google Drive is a separate source. The app shows which sources are available.

Begin with a brief, a previous proposal and one reference document. Give them descriptive names so you can find the right source later. Your local Cowork folder remains a separate workspace: opening Library does not upload every file on your computer.

Choose More AI Drive or Google Drive

More AI Drive supports uploads, search, image and document filters, sorting and a grid or list view. You can rename a file, upload a replacement as a new version, move it to the trash and recover it. Its current organization uses search and filters; it does not create folders.

Connect Google Drive in Settings to browse that source inside Library, including folders and files shared with you. Google Docs, Sheets, Slides and Drawings use a PDF export for this preview and document-question workflow; ordinary files keep their original format. Google permissions and export limits still apply.

Ask about the document you have opened

Open a file, check its name and version, and use the question field. More AI attaches the selected document’s actual bytes to the conversation. A later replacement does not silently turn that attachment into a different version.

Try: “From this project brief, list the deliverables, dates and open questions. Name the source file and distinguish an explicit requirement from your interpretation.” Check the answer against the original before sending a proposal or relying on a deadline.

For an image, open the viewer and choose a model that supports images. Ask for a description or draft alt text, then check names, numbers and details yourself.

Find a source without digging through old conversations

When Library access is enabled, the desktop agent can search and read your More AI Drive files in ordinary Cowork and Code tasks and supported existing Chat conversations. Ask: “Find the proposal named Acme May in my Library, read it and list the assumptions that need checking.” Give a name, topic or file type, and confirm the match if several files are plausible.

The desktop Library tool searches and reads; it does not rename or delete files. Connected Google Drive uses its own connector tools. Finding a file is different from automatically reading your whole collection: ask for the particular sources the task needs.

Keep useful results and recover an earlier version

Use Save to Drive for a result you want to keep independently of its original chat or project. To update that file, upload a replacement rather than giving every draft a new unrelated name. History lets you open and download previous versions.

Restoring an older version adds a new current version while retaining history. If another device changed the file in the meantime, a version conflict prevents a silent overwrite. Review the current file before retrying the replacement.

Three useful workflows

Use a small, deliberate set of source files and define the deliverable before asking the agent to begin.

  • Proposal: combine a client brief and a previous proposal; ask for a draft scope, assumptions and unanswered questions, then verify that the old client’s details were removed.
  • Report: use the selected spreadsheet or CSV and a reporting template; ask for a summary that identifies the period, units and missing values. Check totals in the spreadsheet application.
  • Research packet: keep the reports you are permitted to use, ask for a comparison with source names and relevant sections, and explicitly ask the agent to say when the files do not support a conclusion.

Open your files from another device

Sign in to the same account in the responsive web app to open the available Library from another computer or a phone browser. A private file link takes you to the file after sign-in; copying it does not grant another person access.

Where cloud execution and Drive are enabled, a cloud agent can use selected readable files, process a copy in its workspace and save a result as a new file or version. Cloud tools can make changes, unlike the desktop’s read-only Library tool. Choose the execution mode and permissions for the task and review the saved result.

Storage size is different from AI reading size

Storage supports files up to 250 MiB, subject to account access and allowance. Attaching a whole Library file to a question is limited to 8 MiB. Desktop inline reading and previews have a 16 MiB limit; cloud agent reads and writes are limited to 8 MiB. A stored file can therefore be too large for one question.

PDF, Word and spreadsheet reading depends on the format and available text. A scanned PDF may have no text layer; opening it does not guarantee OCR. Audio and video can be stored and previewed when supported, but the Library text tool does not automatically transcribe them. For a large or unsupported file, download it or prepare a smaller relevant extract.

Library is a document viewer and a place to manage files and versions. It is not a full Office editor. Use Cowork or a suitable editor to change a document, check it, and save the next version.

Understand where the file is processed

Library is cloud storage. New ordinary More AI Drive uploads are server-readable so enabled cloud tasks can process them; do not assume they stay only on your computer or have end-to-end encryption. Older encrypted files require the matching existing sync key on a compatible client and cannot be read by the cloud agent.

A question sends the selected content to the model used for that task. Review that provider and your Privacy settings, including AI observability and replay, before using sensitive documents. Desktop work without an account is still available separately from Library.

The desktop app is free. Available cloud features are temporarily free during beta; access and limits are shown in your account. Cloud access is the subscription layer, while BYOK model usage is billed by your provider.

Frequently asked questions

Does Library sync every folder on my computer?

No. Library contains cloud files and connected sources. A local Cowork folder is separate; choose the files you upload or use in a task.

Can I ask about an earlier file version?

You can open a specific version and work with its content. More AI Drive attachments use the selected revision, so later replacements do not rewrite that attachment.

Is a private file link a public share link?

No. It opens the file after the owner signs in. Copying the link does not authorize another account.

Why is More AI Drive unavailable in my account?

Its availability and storage allowance are controlled by the account’s current cloud access. Connected Google Drive is a separate source; use the sources and limits displayed in the app.
